Facilitating a Virtual Meeting

 

Panels serve a critical role in virtual meetings as they allow the attendees to directly interact with the panelists.  As a facilitator, you make certain that interaction goes smoothly.

 

 

Do’s

Before

  • Communicate time limitations to the panelists well in advance.
  • Review audience demographics and event content to find what is relevant to this audience.
  • Have backup questions ready at hand to kickoff panel.
  • Verify your pronunciation of panel speakers names.
  • Muting everyone in the beginning.
  • Prepare a brief introduction and verify it with panelists.

During

  • Watch time very closely.
  • Mention the name of the person that submitted the question.
  • Give quick pointers on location & use of: chat, emoticons & ask questions.
  • If you are allowing questioners to speak, ask them to use  the “raise hands” or “ask question”.  Then unmute them to quickly ask their questions.
  • Monitor chat’s for messages from the meeting coordinator, emcee and meeting staff.
  • Communicate looming time stop and be prepared to limit speakers & questions and find a way to cut them off gracefully.

After

  • Thank speakers & panelists.
  • Invite and offer some way for the audience to engage them.
  • Send thank you note after the event is over.

 

 

 

Don’ts

  • Don’t ask questions that irrelevant to this audience.
  • Don’t let a question or an answer go too long, invite them to connect in the chat.
  • Don’t cut off a speaker to abruptly.  Be gentle and apologetic.
